  • Salary Range: $90,000 - $100,000
  • The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

    Position Summary

    Reporting to the Section Chair at the College of Dental Medicine (CDM) with an administrative reporting line to the Chief of Staff, the Section Administrator will be responsible for the administrative management of overall day-to-day operations in the Section of Hospital Dentistry, Divisions of Oral & Maxillofacial Surgery, Oral Pathology, Oral & Maxillofacial Radiology.

    Responsibilities

    Responsibilities will include but not limited to:

    Operations

    • Support all faculty within the section with scheduling, travel, correspondence, and reports.
    • Participate in clinical leadership meetings as required, prepare meeting minutes, newsletters, transcription and proofreading.
    • Liaise with faculty, students, vendors and external contacts. Update website content and maintain personnel files.
    • Provide guidance with IT troubleshooting, facilities and housekeeping request submission.
    • Assist section leadership with processes related to preparation of nomination packets, and promotion CoAP packets.
    • Partner with human resources on faculty and staff matters, clinical reappointment & credentialing, faculty time and attendance tracking.
    • Work collaboratively with other CDM and external units including CDM HR, Business Office, Clinic Operations, Finance, Grants Administration, NYPH, etc.
    • Event planning and recognition in coordination with CDM partners in continuing education, student affairs and development to include managing events and meetings within the section.
    • Collaborate with the Office of Student Affairs on clinic coverage scheduling and residency schedule coordination
    • Supervise, mentor, and evaluate assigned administrative staff; conduct performance evaluations and provide input on hiring, correction action and professional development in collaboration with Section leadership and CDM Human Resources.
    • Advising faculty and students on University policies and procedures as part of day-to-day administrative leadership.
    • Update website content and maintain personnel files.
    • Perform other administrative and financial duties as needed.

    Finance Operations

    • Oversee the financial and administrative management of the Section, including (3) divisions, and (3) residency programs
    • Work with the Finance team to manage revenue and expense budgets including non-sponsored accounts, central funds and gifts and endowments, in accordance with the CDM/CUIMC/University policies.
    • Manage purchasing and accounts payable functions for all non-sponsored activities within the Section. Reconcile accounts, perform financial analysis, prepare and present financial and managerial reports.
    • Provide administrative support as needed to all research investigators on Section research activities.
    • Partner with CDM finance to liase with faculty, students, vendors and external contracts.
    • Operational-level financial responsibilities such as reconciliations, reimbursements, and purchasing workflows, to complement the broader financial oversight already outlined.

    Minimum Qualifications

    • Bachelor's degree and at least four years of relevant financial and administrative experience in an academic medical center of higher education required.

    Preferred Qualifications

    • Master's degree in business administration, healthcare administration or public administration is desirable. Knowledge of Columbia University systems (Rascal, Info-Ed, and ARC) is preferred.

    Other Requirements

    • Experience in education administration, research and compliance requirements in healthcare required.
    • Must have strong computer skills including advanced knowledge of Excel with an emphasis on developing complex spreadsheets. Excellent oral/written communication, interpersonal, organization, problem solving and detail-oriented skill required.
