Job summary:

The Administrative Finance Assistant provides support to senior leadership by managing daily administrative operations, supporting strategic tasks, and assisting with accounting processes. This role requires exceptional organizational skills, financial literacy, and the ability to handle confidential information with discretion. The ideal candidate is proactive,  detail oriented ‑oriented, and comfortable operating in a fast fast-paced ‑paced, dynamic environment.

Job Specifications:

  • Starting Wage: $23.22/hr - $31.00/hr
  • Employment Type: Year Round 
  • Shift Type: Full Time  hours available
  • Minimum Age: At least 18 years of age

Job Responsibilties:

Executive & Administrative Support

  • Provide professional administrative support to company leaders, including calendar management, meeting preparation, travel coordination, office supply and office management.
  • Serve as a key liaison between resort leadership, internal teams, and external partners
  • Assist in the preparation of executive level presentations, summaries, and briefings.

Financial Coordination

  • Assist the finance team with reviewing and inputting transactional information, performing basic reconciliations, and supporting other tasks as needed
  • Review, code, and process invoices, expense reports, and credit card activity
  • Support monthly, quarterly, and annual financial tasks as needed
  • Compile financial data into organized, easy to interpret reports for leadership.

Operational Support

  • Coordinate cross departmental office supplies.
  • Maintain and improve organized systems for contracts, financial documents, and sensitive information.
  • Accurately input data supporting business licenses, short-term rental, real estate, and other resort activity into key company databases. Proactively review and identify issues with the appropriate manager.

Communication & Coordination

  • Draft professional emails, reports, and communications on behalf of leadership.
  • Facilitate meetings by preparing agendas, capturing action items, and ensuring follow-through.
  • Build strong working relationships with internal and external stakeholders.

Job Requirements:

  • 3+ years of administrative support experience, ideally supporting senior leadership.
  • Strong financial acumen, with experience in accounting processes.
  • Proficiency in Microsoft Excel, PowerPoint, Teams, and Outlook.
  • Exceptional communication, organization, and time management skills.

Preferred

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
  • Experience in a corporate, hospitality, resort, or multi-unit business environment.
  • Ability to manage multiple priorities with accuracy and minimal oversight.

The expected pay range is $23.22/hr - $31.00/hr. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
